Booking terms
The terms that apply when you book a tour: deposits, the balance, cancellation and transfers.
Version 1-draft, 28 Oct 2026
DRAFT FOR SOLICITOR REVIEW. These terms have not yet been reviewed by RAPID's solicitor. Sections marked "to be confirmed" need a decision before the site takes real bookings.
These terms apply when you book a tour with RAPID Training. The riding standards apply to everything we run.
1. Who you are booking with
Tours are run by Rapid Training Limited, a company registered in England and Wales, company number 03389719. Its registered office is Scottsdale House, 10-31 Springfield Avenue, Harrogate, HG1 2HR. In these terms "we", "us" and "RAPID" mean that company.
To contact us about a booking, reply to any booking email or write to tours@rapidtraining.co.uk.
2. Your booking
- A booking is for one rider on one departure of a tour. The price on the tour page is per rider, in a single room or in a room shared with another rider. A pillion can be added where the departure offers it, at the price shown.
- Your booking is confirmed, and a contract exists between us, when we email your booking confirmation. We send it once your deposit, or the full price, has been paid.
- Each rider may hold one booking on a departure.
- The contract is made up of the tour page as it stood when you booked, these terms and your booking confirmation.
3. What the price includes
The tour page lists what is included and what is not. Unless the tour page says otherwise:
- Included: hotel accommodation with breakfast for the nights shown, the welcome dinner, RAPID coaching throughout the tour, and a RAPID tour T-shirt.
- Not included: ferry crossings, fuel, lunches and evening meals after the first night, travel insurance, breakdown cover, and any fines or penalties.
Extra nights at the tour hotel, up to two before and two after the tour, can be added where the tour page offers them. They are priced per night, form part of your booking and are paid with the balance, not the deposit. You can add nights from your account up to two weeks before the tour. To remove a night, ask us from your account; we remove it and refund anything you have paid for it. We book the nights with the hotel on your behalf; if the hotel cannot provide them we remove them from your booking and refund what you have paid for them.
Prices are per rider, in pounds sterling, and include VAT where it applies. We will not change the price of your tour after your booking is confirmed.
4. Paying
- Deposit. The deposit shown on the tour page, payable when you book. It is a fixed amount, not a percentage.
- Balance. Due 120 days before the tour's start date. Your booking confirmation gives the date. We email a reminder two weeks before it, and you pay from your account on the website. You may pay the balance earlier at any time.
- Late bookings. If you book within 120 days of the start date, the full price is payable when you book.
- How you pay. By card, through Stripe. We never see or store your card number.
- If the balance is not paid. We will contact you. If it is still unpaid seven days after the due date, we may treat your booking as cancelled by you on that day, and the charges in section 7 apply.
5. Who can come, and on what
- Riders must be 18 or over and hold a full motorcycle licence valid in every country the tour visits. Bring it with you.
- A pillion must be 18 or over, or travel with a parent or guardian who is on the same booking.
- Your bike must be road legal for the whole tour: taxed, with a valid MOT where one is required, and roadworthy with legal tyres.
- Tell us before you book if you or your pillion have reduced mobility or a medical condition that could affect the tour. We will tell you whether the tour and its hotel are suitable.
- You may change the bike on your booking by telling us.
6. Insurance and documents
For every day of the tour you must have:
- motor insurance that covers you riding your bike in every country the tour visits;
- breakdown cover that includes recovery of the bike to your home, valid in every country the tour visits;
- travel insurance for you and any pillion, covering cancellation, medical costs and getting you home.
You confirm this when you book. We do not check policies. If you travel without cover, the costs that cover would have met are yours.
You are responsible for your own ferry crossings, passport where needed, and the documents and equipment your bike must carry by law in each country.
7. If you cancel
TO BE CONFIRMED BY RAPID. The bands below are a working draft.
Tell us by email. Your cancellation takes effect on the day we receive it. The charge depends on how long before the tour's start date that is.
| When we receive your cancellation | Charge |
|---|---|
| More than 120 days before the start date | Your deposit |
| 120 to 61 days before | 50% of the total |
| 60 to 31 days before | 75% of the total |
| 30 days or fewer before, or if you do not arrive | 100% of the total |
"The total" is the full price of your booking, including any pillion. If you have paid more than the charge, we refund the difference within 14 days. If you have paid less than the charge, we email you the amount and you pay it within 14 days, by card from your account on the website. The charges reflect what we have committed to the hotel and our coaches by each date and cannot recover.
Your travel insurance may cover these charges. Check your policy when you book.
8. Passing your booking to someone else
You may transfer your booking to another rider who meets every condition in section 5. Tell us by email at least seven days before the tour starts, with their name, email address and bike. You and they are both responsible for any unpaid balance and for the reasonable costs of making the change.
9. If we change the tour
- Small changes. Before departure we may make small changes, such as a different hotel of the same standard or a change to the route. We will tell you by email. On the road, the lead coach may change the route or the timings for weather, road closures or safety.
- Significant changes. If before departure we have to change a main feature of the tour significantly, such as the dates, the number of nights or the hotel standard, we will tell you promptly. You can accept the change, or cancel with a full refund.
10. If we cancel the tour
If we cancel a departure, we refund everything you have paid within 14 days. Where the cancellation is for reasons within our control, you may also be entitled to compensation. We are not responsible for ferry costs or other arrangements you have made yourself, so take out travel insurance when you book.
11. Our responsibility to you
- We are responsible for the services in your booking being provided as described.
- If something is not as described, tell the lead coach straight away so that we can put it right.
- Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit.
12. Your riding and your bike
- These are coached tours on public roads. You are in control of your own bike at all times and you are responsible for how it is ridden.
- Coaching is advice. Following the route, the lead coach or another rider is always your choice. Nobody is required to keep up.
- We are not responsible for damage to your bike, mechanical failure, punctures, fuel, recovery costs, or fines, penalties and charges of any kind, unless our negligence caused them.
- You must follow the riding standards. If you seriously or repeatedly break them, or put other people at risk, the lead coach may require you to leave the tour. No refund is due if that happens, and any extra costs are yours.
13. What a tour is, and financial protection
TO BE CONFIRMED BY RAPID'S SOLICITOR. A tour combines hotel accommodation with coaching. Whether that makes it a package under the Package Travel and Linked Travel Arrangements Regulations 2018, and what financial protection must therefore be in place for the money you pay us, is a legal question RAPID is taking advice on. This section will state the position once that advice is received. Until then, no deposits should be taken on the live site.
14. Photographs and film
We photograph and film our tours and use the results on our website and social media. If you would rather not appear, tell the lead coach at the start of the tour and we will respect that. Our privacy notice says more.
15. Complaints
Tell the lead coach on the day, so that we can deal with it there and then. If you are still unhappy, email us within 28 days of the end of the tour and we will reply within 14 days.
16. General
- These terms are governed by English law, and the courts of England and Wales deal with any dispute. If you live in Scotland or Northern Ireland you may bring a claim in your own courts instead.
- If a court finds part of these terms unenforceable, the rest still applies.
- We may update these terms for future bookings. The version in force when you book applies to your booking, and your booking records which version you accepted.
- Nothing in these terms takes away your legal rights as a consumer.
